Privacy Policy

Overview

Engenius Connect is committed to protecting your privacy. We collect and use personal information properly, lawfully and transparently, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

This policy covers our website, our school network services, Engenio (our school assistant on WhatsApp) and the Engenius Connect Community. For a short, plain-language summary of how we keep learners safe, see Privacy & Safety.

Who we are

This website is operated by Engenius Connect, a division of Engenius Re4olution, based in Midrand, Gauteng. Engenius Connect is the responsible party for the personal information described in this policy.

Information we collect

When we collect it

• When you complete a form on our website, such as a needs analysis, a quote or demo request, or a contact request
• When you contact us by phone, email, WhatsApp or social media
• When your school uses Engenio or the Community and gives us the details we need to set up access
• When you use Engenio or the Community
• When you visit our website, where standard technical information is logged

What we collect

• Name and contact details, such as email address and phone number
• Organisation or school information, and your role at the school
• Anything you choose to tell us in a form or message
• For schools using Engenio or the Community: the details of learners, parents and staff that the school provides, and the messages and content they send through the service
• Browser and device data

Children's personal information

Engenio and the Community are used by learners from Grade R to Grade 12, so much of the information we process belongs to children. POPIA gives children's information extra protection, and so do we.

• A parent or guardian consents before a learner's information is processed.
• We use learners' information only to provide Engenio and Community services to their school.
• We never sell children's information, or use it for advertising or to profile children.
• The school decides who joins, what Engenio covers and what teachers and parents can see.
• Signs of bullying, self-harm or abuse are flagged to the school's designated staff member straight away.

Parents and guardians can ask to see, correct or delete their child's information at any time. Contact us at info@engeniusconnect.co.za.

How we use your information

• To respond to enquiries, quote requests and service requests
• To provide and support our services, including Engenio, the Community and school networks
• To keep learners safe, through content filtering, moderation and alerts to school staff
• To improve our website and services
• To communicate with you, if you have given consent

Legal grounds for processing

We process personal information on one or more of these grounds:

• Your consent, or for a child, the consent of a parent or guardian
• Performance of a contract, such as our agreement with your school
• A legal obligation
• A legitimate interest

Engenio and WhatsApp

Engenio works in WhatsApp. Messages to and from Engenio travel through WhatsApp, which is operated by Meta and has its own privacy terms. We recommend that users and parents read those terms too.

Engenio supports teachers. It does not replace them, and the school stays in control of how it is used.

Your rights under POPIA

You have the right to:

• Be told that personal information about you is being collected
• Ask for access to your personal information
• Ask us to correct or delete your personal information
• Object to processing in certain circumstances
• Withdraw consent you have given
• Lodge a complaint with the Information Regulator

Cookies and website analytics

We use cookies and analytics tools, including Google Analytics, to keep the website working well and to understand how visitors use it, such as which pages are visited and how people found us.

We also use Google Ads conversion tracking. It tells us when someone who clicked one of our adverts goes on to send us an enquiry, so we can see which adverts work.

Google provides these tools and processes the data under its own privacy terms. We look at this information in summary form and don't use it to identify you. You can block or delete cookies in your browser settings, or install Google's Analytics opt-out add-on.

Information security

We protect personal information with SSL encryption, secure infrastructure and access controls, and we review these safeguards regularly.

Information sharing

We do not sell personal information. We share it only when we need to in order to deliver our services, with service providers such as Google for website analytics (see Cookies and website analytics), or when the law requires us to.

Engenio uses trusted service providers to deliver messages and generate answers, including WhatsApp and AI model providers. Some processing happens outside South Africa. Before anything reaches an AI provider, we remove names, phone numbers and ID numbers, and use a learner code instead. Our providers are contractually barred from using school data to train AI models and must protect it to POPIA standards. A current list of providers and where they process data is available to schools on request.

Data retention

We keep personal information only for as long as we need it, or as long as the law requires. After that, it is securely deleted or de-identified.

Changes to this policy

We may update this policy from time to time. The latest version is always on this page.
